How the Vawsum school payroll system works
Most schools still run payroll across a spreadsheet, an attendance register and a calculator, and the errors only surface when a teacher queries a payslip. Vawsum brings the whole cycle into one place. Staff attendance arrives either from biometric devices integrated over standard SSL, or is entered manually if you would rather not connect hardware at all. Salary structures are set up as templates at department level, so teaching and non-teaching staff can be paid on entirely different rules without anyone recalculating by hand. The system applies those rules automatically each cycle, computes statutory deductions including PF, ESI, professional tax and TDS, produces salary sheets for management, and generates payslips on a standard template that staff can open in the Vawsum app rather than collecting from the payroll desk. Form 16 is generated from the same records, and arrears, increments, bonus, leave encashment, staff loans and salary advances are all handled inside the salary run. For disbursement, Vawsum prepares bank instruction slips in the format your bank expects. Role-based access controls who can view or edit each section, and the reporting set can be exported for management review and audit.

1. Can I opt for just the Payroll Module?
Yes you can. You need not pick the other modules of Vawsum
2. Does the system handle PF, ESI, Professional Tax and TDS?
Yes. PF, ESI, professional tax and TDS are computed as part of the payroll run, so the deductions appear on the payslip and in the salary sheet without being worked out separately.
3. Can we generate Form 16 from Vawsum?
Yes. Form 16 is generated from the system for your staff.
4. Different Departments have different Salary structures. Can you support that?
Yes. We can create Templates at Department Level
5. Does it handle arrears, increments, bonus and leave encashment?
Yes. Arrears, increments, bonus and leave encashment are all supported within the salary run.
6. Can we deduct staff loans and salary advances?
Yes. Staff loans and salary advances are tracked and deducted through the payroll module.
7. Can I pay Salaries Online?
Vawsum generates bank instruction slips that you can hand to your bank for disbursement, which removes most of the manual work. These are produced in a single standard format at present.
8. Does the system integrate with Biometric Attendance systems?
Yes, there is an integrated solution available. You can use standard SSL devices for easy integration.
9. Can I update staff attendance manually?
Yes there is an option to update staff attendance manually as well. This way no integration with any device is mandated.
10. Can staff see their own payslips?
Yes. Staff can view their payslips in the Vawsum app, so they do not need to collect them from the payroll desk.
11. We run multiple branches. Can one login cover all of them?
Reporting across branches is available from a single login. Day to day transactions such as leave approvals are handled through separate logins at each branch.
12. I do not want to take your Leave Management System. I want to take just the Payslip generation system.
All our modules work independently. You can opt for either or both.
13. How do you provide customer service?
We have complete onboarding support with regular refresher classes and circulation of training videos.
14. How are leave, calendars and shift timings handled?
Those are configured in the Staff Attendance and Leave Management System – leave types and entitlements, department-level calendars, shift timings, late and half-day rules – and the resulting attendance, approved leave and loss of pay feed the salary run automatically.
