How Vawsum Certificate and ID Card Management works
A parent asks for a bonafide certificate. It should not take three days.
Certificates are among the smallest tasks a school office does and among the most irritating to do badly. A parent needs a bonafide certificate for a passport application, a leaving student needs a transfer certificate before the new school will admit them, and the request lands on a clerk who opens last year's Word file, changes the name and the date, and hopes nothing else in the template was specific to the previous student. Vawsum generates certificates from the records the institution already holds. A certificate master is activated for the school, and from that point a certificate is produced for a student with their details filled from the student record rather than typed in - which removes the class of error where a name is spelled one way on the transfer certificate and another on the marksheet. Where a school needs several at once, at the end of a session or after a batch of leavers, multiple certificates are printed together rather than one at a time. Certificates can be mapped demographic-wise, so the template that applies to one category of student is issued to them automatically instead of being selected by hand and occasionally selected wrongly. Certificates are also created user-type-wise, so the letters a school issues to teachers - service certificates, experience letters, appointment confirmations - are handled by the same module rather than left to whoever has the old file. ID cards work on the same principle but go further. Rather than sending a design brief to a vendor or raising a development request and waiting, the school builds its own ID card in the Dynamic ID Card panel, controlling layout and content directly - which matters most in the first week of a session, when the design needs one more change and nobody has time to wait for it.

1. Which certificates can we issue?

2. Do we have to type the student's details each time?
No. A certificate is generated for a student with details drawn from the record already held in the system, which removes the error where a name is spelled one way on the transfer certificate and another on the marksheet.
3. Can we print several certificates at once?
Yes. Multiple certificates are generated and printed in one operation, which is what a session end or a batch of leaving students requires rather than issuing them singly across a week.
4. Different categories of student need different templates. Is that possible?
Yes. Certificates are mapped demographic-wise, so the right template is applied to the right category of student automatically rather than being selected by hand and occasionally selected wrongly.
5. Can we issue certificates to teachers as well as students?
Yes. Certificates are created user-type-wise, so service certificates, experience letters and confirmations issued to teaching and non-teaching staff run through the same module as student documents.
6. Can we design our own certificate format?
Yes. Custom design templates are supported alongside the standard certificate types, so an institution with its own established format keeps it.
7. Do we need a developer to change our ID card design?
No, and this is the point of the Dynamic ID Card panel. Your own staff build and change the card design themselves, without raising a development request or waiting for a vendor proof. In the first week of a session, when the design needs one more change, that is the difference between an afternoon and a week.
8. Can we make different ID cards for students and staff?
Yes. Cards are designed per user type, so students, teachers and non-teaching staff each carry a card appropriate to their role and a person at the gate can tell the categories apart.
9. Does the ID card do anything beyond identification?
Yes. The QR code on the student ID card is what the bus assistant scans at boarding and alighting, and the same card is used for gate pass verification. It is an operational document rather than only a photograph with a name on it.
10. Can we print ID cards for a whole cohort at once?
Yes. Cards are produced in batches, so an incoming intake is issued together rather than printed individually across the opening week of the session.
11. Can I opt for just the Certificate and ID Card module?
Yes you can. You need not pick the other modules of Vawsum, although the module draws on student and staff records, so it is most useful where those are already held in the system.
12. How long does it take to go live?
