How the Vawsum Staff Attendance and Leave System works

In most schools the attendance register, the leave file and the substitution chart are three separate things, and none of them agree with each other by the end of the month. Vawsum runs all three from one record. Attendance is captured from ESSL biometric and face recognition devices, RFID cards, or a desktop punch at the office, and an administrator can mark attendance directly where a device is not practical. Staff do not mark their own attendance, so a punch always corresponds to someone physically present. Where a punch is genuinely missed, the staff member raises a regularisation request rather than the record being edited quietly. Your policy is then applied by the system rather than by a clerk: a grace period before a late mark, rules that convert repeated late arrivals into a half day, half-day treatment based on hours actually worked, an auto-absent cutoff when no punch arrives at all, and minimum working hours and overtime tracked against every employee. Leave runs on the same record. Leave types and entitlements follow your HR policy, balances accrue automatically and are visible to staff in the app, unused leave carries forward or is encashed, and staff without balance are moved to leave without pay rather than the shortfall being missed. Requests carry a reason and supporting documents, can be backdated where the absence has already happened, and route through multi-level approval with department-specific approvers; the approver sees who else is already off on those dates before saying yes, and a request nobody acts on escalates automatically. What makes the approval step short is that the rules run before it. You set how many staff may be on leave on any one day, mark the dates on which leave cannot be taken at all - examination and invigilation days, the day the institution reopens after a vacation - and restrict staff serving probation from applying. Those tests are applied when the request is raised, not when it reaches the approver, so most requests arrive already compliant and the approver is making a decision rather than performing an audit. Work away from campus is handled separately again: invigilation at another school, marksheet evaluation duty or training is recorded as on duty, so the staff member is marked present instead of spending leave to work elsewhere. Once leave is approved the timetable arranges a substitute and notifies the covering teacher, so the class is covered before anyone notices it was at risk, and the principal gets the same-day absence position each morning.

2. How is staff attendance captured?
Attendance comes from ESSL biometric and face recognition devices, RFID or proximity cards, or a desktop punch at the office. Where a device is not practical, an administrator marks attendance directly in the system.
3. Can staff mark their own attendance from the app?
No. Attendance is captured from a device or marked by an administrator rather than through staff self check-in, so a punch always corresponds to someone physically present at the institution. Staff use the app for leave, balances, payslips and documents.
4. What happens if someone forgets to punch?
The staff member raises a regularisation request for the missed punch, which goes for approval like any other request. The correction is recorded rather than edited quietly into the attendance register.
5. Can we allow a grace period before marking someone late?
Yes. You configure the grace window your institution allows, so a staff member arriving a few minutes behind schedule is not marked late while genuine lateness still is.
6. Can repeated late arrivals be converted into a half day?
Yes. Late arrival rules are configurable, so a policy such as three late marks becoming one half day is applied by the system every month rather than tracked by hand.
7. What happens if a staff member never punches in on a working day?
An auto-absent cutoff marks the day absent when no punch has arrived by the time you set, so an unrecorded absence does not survive unnoticed until month end.
8. Are working hours and overtime tracked?
Yes. Minimum working hours are tracked against every employee and overtime hours are captured, so the institution sees time actually worked rather than only days present.
9. Can staff see their own leave balance?
Yes. Staff see their leave balance in the Vawsum app before applying, which removes most of the balance queries that otherwise reach the HR desk.
10. Does leave accrue automatically?
Yes. Leave accrues on the monthly or annual cycle you configure, so balances stay correct without a parallel spreadsheet being maintained.
11. Can unused leave be carried forward or encashed?
Yes. Unused leave carries forward into the next year or is encashed through the salary run, following the rules your institution applies to each leave type.
12. What if a staff member has no leave balance left?
The absence is treated as leave without pay and carried into the salary run, so the loss of pay reaches payroll rather than being missed at month end.
13. Are maternity and medical leave handled separately?
Yes. Maternity, paternity and medical leave are held as distinct leave types with their own entitlements, so statutory leave is not absorbed into the general leave pool.
14. Can a leave request go through more than one approver?
Yes. Requests can route through multiple levels, so an application needing both the head of department and the principal follows that path in the system.
15. Can different departments have different approvers?
Yes. Each department routes to its own approver, so requests reach the person who manages that team rather than queueing at a single central desk.
16. Can the approver see who else is already on leave?
Yes. Before approving, the approver can see which other staff are already off on the same dates, so two teachers from the same subject are not released on the same morning.
17. Can staff attach a medical certificate to a request?
Yes. A reason and supporting documents are attached to the leave request, so the approver decides with the evidence already in front of them.
18. Can leave be applied for after the absence has happened?
Yes. Backdated applications are supported, which is how sudden illness actually works, so the record is completed properly rather than left as an unexplained absent day.
19. What happens if nobody acts on a leave request?
The request escalates automatically after the period you configure, so an application does not sit unanswered while the staff member waits to know whether they can travel.
20. Does approved leave arrange a substitute teacher?
Yes. Approved leave triggers the substitution flow, the timetable arranges cover for the periods that teacher would have taught, the covering teacher is notified automatically, and the substitution is recorded for workload tracking.
21. Who gets notified about absences and requests?

Yes. Attendance, approved leave and loss of pay flow directly into the Vawsum Payroll System, so the salary run works from the same record rather than a re-keyed summary.
25. We run multiple branches. Can one login cover all of them?
Reporting across branches is available from a single login. Day to day transactions such as leave approvals are handled through separate logins at each branch.
26. Can we limit how many staff take leave on the same day?
Yes. You set a quota for how many staff can be on leave on any one day. Once that limit is reached for a date, further applications for that date are stopped, so the institution is not left short because separate approvers each said yes without seeing the others.
27. Can we block leave on examination days or when school reopens?
Yes. Restricted and blackout dates are configured in advance – examination and invigilation days, the day the institution reopens after a vacation, results day – and requests for those dates are stopped at source rather than being declined individually.
28. Can staff on probation be stopped from applying for leave?
Yes. Probation can be set as a restriction, so staff serving probation are prevented from applying and the condition already written into your appointment letters is enforced by the system.
29. How is off-site duty such as external invigilation handled?
It is recorded as on duty rather than leave. Invigilation at another school, marksheet evaluation duty, training or any official work away from campus marks the staff member present, so nobody loses leave for working elsewhere on the institution’s behalf.
