Recruitment management system for schools - candidate profile and a new teacher being welcomed

How the Vawsum Recruitment Management System works

Built for a school hiring teachers and staff, not for a recruitment agency.

A school hiring teachers rarely lacks applicants. What goes wrong is everything in between: the vacancy goes out as a WhatsApp forward, CVs arrive by email, by hand at reception and through a teacher's cousin, someone keeps a list in Excel until they go on leave, and a shortlisted candidate turns up without their B.Ed. certificate because nobody told them to bring it. Vawsum's recruitment module is the hiring part of the Vawsum school ERP, built to close those gaps. The school publishes its openings on its own careers page, each with a link it can share anywhere, and every application arrives with the candidate's CV and documents in one list, sorted by job, department, academic year and stage. The school moves candidates through its own hiring stages and schedules interviews, and Vawsum emails the invitation with the list of documents to bring. Each candidate's notes, stage history and correspondence sit on one profile. When someone is hired, one step creates their staff record and login and carries their details forward, so the office does not type the same name, qualifications and bank details into HR, attendance and payroll all over again.

Benefits

Vawsum's Recruitment Management System keeps every applicant, interview and hire in one place, from the careers page to the staff room
Every Applicant in One Place

Online applications and walk-ins land in one list against the right job, instead of across inboxes, WhatsApp chats and a pile at reception.

No Candidate Forgotten

Stages, history and a list of candidates still waiting for an interview mean nobody who applied in March is lost by July.

Hired Today, On the System Today

The person you hire becomes a staff member with a login in one step, with their details carried forward and nothing retyped.

Features

Designed around the way a school actually fills a teaching post
Careers Page for the School

Every school gets its own careers page listing its current openings, ready to link from the school website.

A Link for Every Opening

Each vacancy has its own shareable link for WhatsApp groups, social media or a newspaper advert, so every applicant comes in through the same form.

Job Descriptions That Read Well

Openings are written in a full editor with headings, lists and formatting, and organised by department, so the advert looks like it came from an organised school.

Opens and Closes on Its Own

Set valid-from and valid-to dates and the opening goes live and closes itself, so a filled post does not linger on the careers page.

Application Form You Control

Choose which fields candidates see and which are mandatory, so the school collects exactly what it needs at the first step.

CV and Document Upload

Candidates attach their CV and certificates while applying, and everything they send is stored against their application.

Walk-Ins Added by Hand

A CV handed in at reception is entered by the office against the right job, so it sits in the same list as the online applications.

Source of Every Applicant

Each application records where it came from, so the school learns which channels actually bring candidates.

One Profile per Candidate

CV, documents, notes, stage history and every email sent sit on one profile, so anyone picking up the file sees the whole story.

Your Own Hiring Stages

The school defines its stages once, from Applied to Joined, and every candidate moves through them with each step kept in their history.

Filters That Find People Fast

Narrow any list by job, department, academic year or stage to see exactly who is where.

Interview Invitations by Email

Set the date, time and venue or online meeting link, and the invitation goes to the candidate by email.

Documents-to-Bring Checklist

Each invitation carries the school's list of documents to bring, so candidates arrive with their certificates, not apologies.

Nobody Left Unscheduled

A Schedule Interviews page lists candidates who are waiting for an interview slot, so nobody falls between shortlisting and calling.

Pre-Joining Documents

Documents needed before joining are collected on the candidate's profile, so they are ready on the first day.

One-Step Hire to Staff

Mark a candidate as hired and Vawsum creates their staff record and login, carries their details forward and emails their credentials, ready for attendance and leave and payroll.

Organised by Academic Year

Every opening and applicant belongs to a session, so this year's hiring stays separate from last year's and past years remain on record.

Nothing Deleted by Mistake

A job can only be deleted while it has no applicants. After that it can be closed, never erased, so application history is kept.

Reports the Recruitment Module Generates

Every view below comes from the applications and interviews the office already handles, so the principal gets an answer without anyone building a spreadsheet.
  • Recruitment dashboard – open jobs and the number of applicants at each stage
  • Interviews due – today’s and this week’s interviews at a glance
  • Source-wise applicants – which channels bring the most candidates
  • Stage-wise drop-off – how many candidates move from each stage to the next
  • Candidates awaiting interview – everyone shortlisted but not yet scheduled
  • Candidate history – every stage change and email for a candidate on one screen

Frequently asked questions

If you have any doubts about our Recruitment Management System beside these, feel free to reach out to us

1. What is a recruitment management system for schools?

It is software that handles a school’s hiring from the job advert to the joining day: publishing vacancies, collecting applications and documents, tracking each candidate through the school’s own stages, scheduling interviews and recording who was hired. In Vawsum it is part of the school ERP, so a hired candidate becomes a staff member on the same system.

2. Can we list job openings on our own school website?

Yes. Every school gets a careers page, and every opening has its own link. The page can be linked from the school website, and the job link can be shared on WhatsApp groups, social media or in a newspaper advert, so every applicant comes in through the same form.

3. Can candidates upload their CV and certificates when they apply?

Yes. The school decides which fields appear on the application form and which are mandatory, and candidates upload their CV and documents as part of the application. Everything they send is stored on their candidate profile.

4. Can we add walk-in candidates?

Yes. The office can enter a candidate by hand, so a CV handed in at reception ends up in the same list as the online applications, against the right job.

5. How do we know where our applicants come from?

Every application records where it came from, and a source-wise report shows which channels bring the most applicants. That helps a school decide where to advertise next time.

6. Can we set up our own hiring stages?

Yes. A school defines its stages once, for example Applied, Shortlisted, Interview, Selected and Joined, and every job follows them. Each candidate’s movement between stages is kept in their history.

7. How are interviews scheduled?

The school sets the date, time and venue or meeting link, and Vawsum emails the invitation to the candidate along with the list of documents they should bring. A separate Schedule Interviews page lists candidates who have reached the interview stage but have no interview booked, so nobody is forgotten.

8. Do job openings close automatically?

Yes. Each opening can carry a valid-from and valid-to date. The job goes live on the first date and closes itself on the second, so an old vacancy does not stay on the careers page after the post is filled.

9. What happens when we hire a candidate?

One action turns the candidate into a staff member on Vawsum, with a working staff login, and the login details are emailed to them. Their details are carried forward to the staff record, so the office does not type them in again for attendance, leave or payroll.

10. Is hiring kept separate for each academic year?

Yes. Every opening and every applicant belongs to an academic year, so this session’s hiring does not mix with last session’s, and past years stay available to look back on.

11. Can a job with applicants be deleted by mistake?

No. A job can only be deleted while it has no applicants. Once people have applied, it can be closed but not deleted, so application history is never lost.

12. Is the recruitment module part of the Vawsum ERP?

Yes. It sits in the staff side of the Vawsum school ERP alongside staff attendance, leave and payroll. Vawsum pricing depends on the modules a school takes and its number of students, so ask the Vawsum team for a quote.
