How Quick Fees works

Most schools that want to take fees online are told they must change their entire ERP first. Quick Fees exists so that they do not have to. It is the Vawsum fee module offered on its own, for institutions that already run another system and are not ready to move, or that simply want to start with fee collection and nothing else. It runs on the same collection rails as the full module, so once your bank issues the merchant and secret keys, collection can begin in minutes with no development work at your end.

Benefits

A smaller commitment than an ERP migration, with the same collection machinery behind it.
Keep the system you already run

Quick Fees sits alongside your existing ERP and touches only fee collection. Admissions, attendance and examinations carry on undisturbed.

Nothing for parents to install

Payment happens in the browser. No app to download, no password to remember, no helpdesk call when a parent forgets it.

One number to reconcile

Online payments and cash taken at the counter land in the same ledger, so the office closes the day against one consolidated figure.

Features

Everything the office and the parent need, and nothing they do not.
Pay Fees on your website

A Pay Fees button on your school website takes the parent straight into payment. They enter an admission number and nothing else.

Shareable payment link

No website? We create a standalone payment link. Post it in your parent WhatsApp groups at the start of each collection cycle.

Live fee position

The admission number brings up which months are due, what has been paid, what is outstanding and any late fine that applies.

Late fines without arithmetic

Late fine rules are configured to your policy once and applied automatically, so nobody in the office is working them out by hand.

Receipts generated on the spot

Every payment produces a receipt automatically, downloadable there and then, and available again whenever a parent asks for it later.

Cashier window with POS

Cashiers get a dedicated collection window for cash taken at school, with Razorpay POS and Axis Bank POS card machines posting to the same ledger.

Automated reminders

Due date reminders go out on schedule instead of a member of staff working down a list of defaulters by telephone.

Dashboards and reports

The full reporting set that regular Vawsum schools use, covering collection dashboards, outstanding reports and consolidated views across the cycle.

A path to the full suite

Schools frequently start here and add the rest of Vawsum later. The fee history is already in the system, so it is a continuation rather than a fresh migration.

A first step, not a commitment

Changing an entire school ERP mid-session is a serious undertaking, and most heads of institution are right to be cautious about it. Quick Fees is deliberately smaller than that. It switches on without disturbing anything else you run, and once the bank issues your payment gateway credentials you can be live within a few hours. If you would rather see the complete module first, the Fee Management System page covers it in full.

Frequently asked questions

If you have any doubts beside these, feel free to reach out to us

1. Do we have to replace our existing ERP to use Quick Fees?

No. Quick Fees is designed for schools that already run another system. It handles fee collection alongside your existing software, and nothing else needs to change.

2. What does a parent actually have to do?

They open your school website, click Pay Fees and enter their admission number. The current fee position appears immediately, showing what is due, what has been paid and any late fine.

3. Do parents need to install an app?

No. Payment happens in the browser. There is no application to download and no password for parents to maintain.

4. We do not have a school website. Can we still use this?

Yes. We create a shareable payment link for you that works on its own. Schools commonly circulate it in parent WhatsApp groups at the start of each collection cycle.

5. Can parents pay for more than one month at a time?

Yes. A parent can settle a single month or several months together in one transaction.

6. Are late fines calculated automatically?

Yes. Late fine rules are configured to your policy and applied automatically, so nobody in the office is calculating them by hand.

7. Do parents get a receipt?

Yes. Receipts are generated automatically for every payment and can be downloaded by the parent. Earlier receipts remain available to download later.

8. Can our cashier still collect fees in cash at school?

Yes. Cashiers have a dedicated collection window for payments taken at the school, supporting both cash and POS card machines, with Razorpay POS and Axis Bank POS integrated. A card payment taken at the counter posts straight into the same fee ledger.

9. Do online and cash collections appear together?

Yes. Payments taken online and at the counter flow into the same reports, so you reconcile one consolidated figure rather than matching two systems.

10. What reports does the school get?

You receive the full reporting set that regular Vawsum schools use, including collection dashboards, outstanding reports and consolidated views across the cycle.

11. Which banks and gateways can we collect through?

Quick Fees uses the same integrations as the full Vawsum fee module. Payment gateways include Razorpay, PayU, SabPaisa and Easebuzz. Direct bank integrations cover ICICI Bank, HDFC Bank, Axis Bank, Kotak Bank, IDFC First Bank, Bandhan Bank, Indian Bank and Punjab National Bank. Tell us who you bank with and we will confirm the arrangement for you.

12. What does Quick Fees cost?

Pricing starts at ₹10,000 a year for a school of moderate size. The exact figure depends on your student strength, so tell us your numbers and we will confirm it.

13. How long does it take to go live?

Once the bank issues the payment gateway credentials, we can have you live within a few hours.

14. Can we move to the full Vawsum ERP later?

Yes, and many schools do. Because your fee history already sits in Vawsum, adding admissions, attendance, examinations or payroll later is a continuation rather than a fresh migration.
