Gate Pass Management System
One controlled exit for everything that leaves the campus - a child collected early with an OTP verified against the parent, or a projector going out for repair against a recorded pass - created, validated at the gate and receipted.
How the Vawsum Gate Pass Management System works
Nothing leaves the campus without a record of who authorised it.
Two quite different things leave a school campus during the day, and most institutions control neither properly. A child is collected early because an uncle has arrived, and the decision rests on whether the guard recognises him. A projector goes out for repair, and three months later nobody can say whether it came back or which vendor took it. Both are exit problems, and Vawsum treats them as one. A gate pass is created against a defined master - the reason for the exit is selected rather than described - and validated at the gate before anyone or anything leaves, with a receipt generated as the record of that exit. For students, verification is not left to recognition. An OTP is triggered to the parent, the person collecting the child obtains that OTP from the parent, and only when it is presented at the gate is the pass issued. It works in the same way as an OTP-verified delivery, and it removes the single weakest point in most school security, which is a guard being asked to judge whether an adult is telling the truth. For equipment, the gate pass links to the item being moved, so an asset leaving the premises is recorded against its own register entry rather than noticed missing at audit. Where a school has a scheduled group exit - a sports team, an excursion, a batch of equipment going for servicing - passes can be uploaded in bulk rather than created one at a time while a bus waits. And because every pass carries who authorised it, what left, when and under what reason, the report is genuinely usable afterwards.

Frequently asked questions
If you have any doubts about our Gate Pass Management System beside these, feel free to reach out to us
1. What does a gate pass actually cover?
Anything leaving the campus. A student being collected early, a residential student going out, or equipment leaving for repair, an event or a vendor. Both people and items run through the same controlled exit.
2. What is the full gate pass cycle?
Masters, create, validate, receipt. Exit reasons are set up as masters, a pass is created against one of them, it is validated at the gate before the exit happens, and a receipt is generated as the record.
3. How is a child released safely?
An OTP is triggered to the parent. The person collecting the child obtains that OTP from the parent and presents it at the gate, and only then is the pass issued. Release depends on verification rather than on whether the guard recognises the adult.
4. Why does validation matter?
Because validation is what separates a gate pass from paperwork. A pass that is created but never checked at the gate records an intention; a pass validated at the point of exit records a control.
5. Can we track equipment leaving the premises?
Yes. Items are linked to the gate pass and recorded against their entry in Asset Management or Inventory, so a projector going out for repair is tracked rather than found missing at the next audit.
6. A sports team of thirty is leaving for a match. Do we make thirty passes?
No. Bulk gate pass upload handles a scheduled group in one operation, so the team departs without a bus idling at the gate while passes are typed one at a time.
7. Why set up gate pass masters in advance?
Because a reason selected from a defined list is reportable and a reason written in longhand is not. The masters are what make the gate pass report worth reading three months later.
8. What reports are available?
Individual pass details and reporting across all passes by date, reason or authoriser. Every pass carries what left, when, why and who authorised it, which is what an incident review or a parent query needs.
9. How do hostel students leaving campus work?
Through the same gate pass rather than a separate outpass book. The request is approved, an OTP goes to the parent, and the exit is recorded, so residential movement carries the same verified trail as day students.
10. How is this different from Visitor Management?
Gate pass controls what leaves the campus; visitor management controls what comes in. Both are needed for a complete picture, and they run on the same platform.
11. Do we need hardware at the gate?
No. The system runs from a phone, so a guard validates a pass without any equipment being installed.
12. How long does it take to go live?
We can configure the system in a few hours if we have all the data.
