Why integration matters more than feature lists

Most schools do not start from zero. There are already biometric machines at the staff entrance, a payment gateway the accounts office has been using for years, GPS units fitted in the buses, and a Tally file the auditor expects. An ERP that ignores all of it forces the institution to run two systems in parallel, and the second system is always the one that falls out of date. Vawsum is built to sit on top of what you already own. Attendance punches arrive from your existing eSSL machines rather than a new device. Fees settle into the gateway your bank already gave you. Bus units keep reporting to the same hardware. The result is that a school goes live in weeks rather than after a hardware procurement cycle, and nobody is asked to abandon equipment that is working.

Vawsum does not resell payment processing. You hold your own merchant account directly with the gateway or bank, you negotiate your own transaction rates, and settlement goes straight to your institution’s account. Vawsum only carries the instruction. Configuration takes about two minutes: you paste in your merchant key and secret key, and collections begin.

Parents pay by UPI, net banking, debit and credit card, or in cash and card at the school counter. Every mode lands in the same fee ledger, so the cashier’s day-end and the online collection reconcile against one another rather than being totalled separately. Biometric, Face Recognition and RFID Devices

Vawsum runs on eSSL hardware - the same machines already installed in most Indian schools

Vawsum currently manages over 100 active biometric devices across client institutions, connected through eSSL’s eTimeTrack and eBIOServer platforms. Punches sync to the cloud automatically, so no one exports a file from the machine at the end of the month.

Three capture methods, one attendance record:

  • Fingerprint – the most widely deployed. Cheapest per unit, works without a card, but slows down at peak entry times and struggles with worn fingerprints among older staff and manual workers.
  • Face recognition – contactless and faster at a busy gate, unaffected by wet or damaged fingers, and harder to proxy. Costs more per unit and needs reasonable lighting at the mounting point.
  • RFID and proximity cards – fastest throughput of the three and ideal where staff pass a gate in a rush. The weakness is that a card can be handed to a colleague, so schools concerned about proxy punching usually pair cards with face recognition on the same device.

What the device choice actually changes. The machine only decides how the punch is captured. Everything after that – grace periods, late-arrival rules, half-day thresholds, auto-absent cutoffs, overtime, leave balances and loss of pay – is handled in software. A school with old fingerprint readers gets exactly the same rules engine as one with new face terminals. That is why we advise institutions not to replace working hardware simply to adopt Vawsum. A practical note on placement. One device at the main gate is usually not enough for a school with separate teaching blocks – a queue at 7:45am is the single most common reason biometric attendance gets abandoned. Two or three devices positioned at the entrances staff actually use will do more for adoption than upgrading to a more expensive model.

School Bus and Vehicle Tracking Hardware

Vawsum’s own bus safety feature is deliberately hardware-free: the bus assistant scans the QR code on each student’s ID card at boarding and alighting, and parents receive four notifications across the day covering both legs of the run. No GPS unit is required for a parent to know their child boarded.

Schools that also want vehicle-level telematics – live location, route replay, speed and driving behaviour, or on-board video – can integrate hardware from MapmyIndia and Streamax. The two answer different questions and are often deployed together:

  • MapmyIndia – India-specific mapping and telematics. Strongest where the requirement is accurate route mapping, geofencing around stops, and location data suited to Indian road networks rather than a generic global map layer.
  • Streamax – on-board video and MDVR systems. Relevant where the school wants recorded footage inside and outside the vehicle, typically for incident review and driver accountability rather than day-to-day parent communication.

Which do you actually need? Most schools overbuy here. If the question a parent asks is “did my child get on the bus”, QR boarding alerts answer it completely and cost nothing in hardware. GPS earns its place when the school itself needs route compliance and speed monitoring. Video systems earn their place after an incident, or where insurers or the transport authority require them. Buying all three at once, before knowing which question the school is trying to answer, is the usual mistake.

Why the mix matters. Schools that rely on push alone quietly lose the families who never installed the app – often the ones the school most needs to reach. Schools that rely on SMS alone pay for every message and lose the ability to send pictures, documents and report cards. Using each channel for what it is good at costs less and reaches more people than picking one and hoping.

Phone numbers stay private. Teachers and parents communicate through the platform rather than by exchanging personal mobile numbers, so a teacher is not fielding messages at eleven at night and a parent is not passing their number around a class group. 1. Which payment gateways does Vawsum integrate with?

Vawsum integrates with Razorpay, PayU, SabPaisa and Easebuzz, and with the payment gateways of ICICI Bank, HDFC Bank, Axis Bank, Kotak Bank, IDFC First Bank, Bandhan Bank, Indian Bank and Punjab National Bank. Razorpay and Axis Bank POS machines are supported for card collection at the fee counter.

2. How long does a payment gateway take to configure?

About two minutes once you have your merchant credentials. You enter your merchant key and secret key, and collections begin. The longer part is usually your bank issuing the credentials, which is outside the software.

3. Does Vawsum handle our money?

No. You hold the merchant account directly with your gateway or bank, you negotiate your own transaction rates, and settlement goes straight to the institution’s account. Vawsum carries the instruction and records the receipt.

4. We already have biometric machines. Do we need to replace them?

Almost certainly not. Vawsum works with eSSL devices through eTimeTrack and eBIOServer, and eSSL is the hardware installed in most Indian schools. We manage over 100 active devices across client institutions. Send us the model numbers and we will confirm before you spend anything.

5. Which is better - fingerprint, face recognition or RFID?

Each suits a different problem. Fingerprint is cheapest but slows at peak entry and struggles with worn fingerprints. 12. How are parents notified - app, SMS, email or WhatsApp?

All four. In-app push notifications carry day-to-day updates such as homework, marks, attendance and bus boarding alerts. Email handles formal communication that needs a record, including receipts and report cards. SMS reaches every registered mobile number whether or not the family owns a smartphone, which matters for urgent alerts. WhatsApp is used for admission enquiries and sending forms to prospective families.

13. Many of our parents do not have smartphones. Can we still reach them?

Yes. SMS reaches any mobile number without an app or an internet connection, so attendance alerts, fee reminders, emergency notices and examination information still arrive. Schools typically run push for everyday updates and SMS for anything that must not be missed, which keeps cost down while leaving nobody out.

14. Do teachers have to share their personal mobile numbers with parents?

No. Communication runs through the platform rather than through personal numbers, so teachers are not fielding messages late at night and parents are not passing numbers around class groups. The school retains a record of what was sent.

15. What if the integration we need is not on this list?

Tell us the system and we will assess it. Several integrations on this page were built because a client already ran that software or hardware and did not want to abandon it. If it exposes an API or a standard export, it is usually workable.
