Transport Management System

Routes, stops, vehicles and drivers set up once, students assigned to the stop they actually use, transport fees billed on their own fee book, and parents notified at boarding and alighting without a single GPS unit.

How the Vawsum Transport Management System works

The parent question is always the same: did my child get on the bus?

School transport creates two separate problems and most software only solves one of them. The first is administrative: which child is on which route, boarding at which stop, on which vehicle, with which driver, and has the transport fee been collected for the current term. That normally lives in a spreadsheet the transport in-charge maintains alone, and it goes out of date the moment a family moves house. The second problem is a parent's, and it is far simpler than the industry pretends: did my child actually get on the bus, and did they get off at school. Vawsum handles both. Routes, stops, vehicles and drivers are set up as masters, students are assigned to the stop they genuinely use, and transport charges run through their own fee book so bus collections stay distinct from tuition while still appearing in one consolidated report. The parent question is answered without hardware. The bus assistant scans the QR code on each student's ID card at boarding and at alighting, and parents receive notifications across both legs of the school run. No GPS unit is required for a parent to know their child is on board, which is why we do not ask schools to buy one. Where an institution also wants vehicle-level telematics - live location, route replay, speed and driving behaviour, or on-board video - MapmyIndia and Streamax hardware integrate with the platform. That is a different question from parent reassurance, and it should be bought deliberately rather than by default.

Benefits

Answers the parent's question without a hardware budget
No GPS Required

Parents learn their child boarded and alighted from a QR scan of the school ID card. The most-asked transport question is answered without a single device being purchased.

One Transport Record

Route, stop, vehicle, driver and fee status for every child sit in the same system as their academic record, rather than in a spreadsheet only the transport in-charge can read.

Transport Dues Visible

Because transport runs on its own fee book, the school can see who has paid for the bus without unpicking it from a combined tuition statement.

Features

Designed basis inputs from 1000+ institutions
Route and Stop Masters

Define every route the school runs and the stops along it, so assignment is a selection from a defined list rather than a free-text address typed differently by three people.

Vehicle and Driver Records

Each vehicle is recorded with the driver assigned to it and mapped to its route, so the institution can answer who was driving which bus on any given day.

Student Assignment

Students are assigned to the route, stop and vehicle they actually use, and the assignment sits on the same student record as academics, fees and attendance.

Transport Fee Assignment

Transport charges run through their own fee book in the Fee Management System, so bus collections stay distinct from tuition while both appear in one consolidated report.

QR Boarding and Alighting

The bus assistant scans the QR code on each student ID card at boarding and alighting, and parents are notified across both legs of the run. Part of Vawsum Secure+.

Student-Wise Transport Report

See every student using transport with their route, stop and vehicle, so a route reorganisation starts from a list rather than from asking the transport in-charge to remember.

Optional GPS and Telematics

Where a school needs live location, geofencing around stops or route compliance, MapmyIndia hardware integrates with the platform. Useful for the school’s own oversight rather than for parent reassurance.

On-Board Video

Streamax MDVR systems integrate where recorded footage inside and outside the vehicle is needed – typically for incident review, driver accountability or an insurer requirement.

Linked to the Student Record

Transport details attach to the same student record used for academics, attendance and fees across the Vawsum ERP, so nothing is entered twice.

Transport Request and Approval

A student is not simply mapped to a route. The transport request is raised and approved first, so a seat on a bus is allocated deliberately rather than by whoever updated the list last.

Automatic Distance Calculation

Distance between a stop and the school is calculated automatically from latitude and longitude, so distance-based fare slabs rest on measured figures rather than on an estimate somebody made years ago.

Stop Sequencing

Rearrange the order of stops on a route as the intake changes, so the sequence in the system matches the order the bus actually drives rather than the order stops were first entered.

Driver Licence Expiry Alerts

The school is alerted automatically when a transport staff member's licence is approaching expiry, so an expired licence is caught before the vehicle leaves rather than during an inspection.

Staff Documents and HR Sync

Multiple documents can be held against each transport staff member, and staff data syncs from Employee Management rather than being maintained twice.

Transport Attendance and Payable Reports

Transport attendance is reported per route per day, and the vehicle-wise monthly payable report calculates transport fees automatically for reconciliation against collections.

Frequently asked questions

If you have any doubts about our Transport Management System beside these, feel free to reach out to us

1. Can I opt for just the Transport module?

Yes you can. You need not pick the other modules of Vawsum.

2. What does transport setup involve?

Defining your routes and the stops along them, recording each vehicle with its driver, mapping vehicles to routes, and assigning students to the route and stop they actually use. Once the masters exist, assignment is a selection rather than free text.

3. Do we need GPS devices for parents to know their child boarded?

No. The bus assistant scans the QR code on each student’s ID card at boarding and at alighting, and parents are notified across both legs of the run. The most-asked transport question is answered without buying any hardware.

4. How are transport fees handled?

Through a separate transport fee book, so bus charges stay distinct from tuition and the school can see transport dues on their own – while both still roll into one consolidated collection report.

5. Can we see which students use which route?

Yes. The student-wise transport report lists every student using transport with their route, stop and vehicle, which is what a route reorganisation should start from.

6. Can we record which driver is on which bus?

Yes. Vehicles are recorded with the driver assigned to them and mapped to their route, so the institution can answer who was driving which vehicle on a given day.

7. Can Vawsum work with GPS hardware we already own?

Yes. MapmyIndia integrates for mapping, geofencing and telematics suited to Indian road networks, and Streamax integrates for on-board video and MDVR systems. Both are optional additions rather than requirements.

8. Should we buy GPS, cameras, or neither?

It depends on the question you are trying to answer. If it is whether a child boarded, QR scanning answers it completely and costs nothing in hardware. GPS earns its place when the school needs route compliance and speed monitoring. Video earns its place after an incident, or where an insurer or the transport authority requires it. Most schools overbuy here by purchasing all three before deciding which question matters.

9. What happens when a family moves house mid-year?

Change the student’s route and stop assignment and everything follows – the boarding scan, the parent notifications and the transport fee all reflect the new assignment, rather than a spreadsheet being edited separately.

10. Does transport connect with the rest of the student record?

Yes. Transport details attach to the same student record used for academics, attendance and fees, so nothing is entered twice and the office can answer a transport question without calling the transport in-charge.

11. Do students need to carry anything special for the scan?

No. Students carry their school ID card, which holds the QR code the bus assistant scans. No separate tag, card or device is needed.

12. Can a student be put on a bus route without approval?

No. The transport request is raised and approved before the student is mapped to a route, so a seat is allocated deliberately rather than by whoever edited the list last.

13. How is the distance to a stop worked out for fee slabs?

Automatically, from the latitude and longitude of the stop and the school. Distance-based fare slabs then rest on a measured figure rather than an estimate made years ago and never revisited.

14. Can we reorder the stops on a route?

Yes. Stop sequence can be rearranged as the intake changes, so the order in the system matches the order the bus actually drives.

15. Will we know if a driver's licence is about to expire?

Yes. The system alerts the school automatically when a transport staff member’s licence is approaching expiry, so it is caught before the vehicle leaves rather than during an inspection or after an incident.

16. Can we store documents against transport staff?

Yes, multiple documents per staff member. Transport staff data also syncs from Employee Management, so a driver’s record is not maintained separately in two places.

17. Is there a report on who travelled on which day?

Yes. Transport attendance is reported per route per day. The vehicle-wise monthly payable report separately calculates transport fees automatically, which is what you reconcile collections against.

18. How long does it take to go live?

We can configure the system in a few hours if we have all the data.
